Role: coordinate planning, development and implementation of marketing and promotion plans, activities and materials in support of student recruitment targets, raising profile of Science at Macquarie University and other objectives in accordance with the Faculty and University strategic objectives and agreed priorities for the Faculty's teaching and research programs and initiatives.
Experience: Cathy Gonzales commenced the role of Marketing Coordinator for the Faculty of Science in January 2009. Prior to this appointment she had a similar role in the Department of Electronic Engineering. Cathy brings to her role over twenty years full-time marketing experience. She has applied her marketing skills across a variety of businesses in both the private and public sectors in Australia, overseas, and across various industries including information technology, tourism, energy and advertising. She has held the position of lecturer/tutor at Edith Cowan University in Western Australia presenting lectures and computer laboratory sessions to local and international students in applied tourism analysis.

Alexandra provides high level support for the Faculty of Science marketing projects including: event promotion and support for faculty specific events and Macquarie University events; publication development for over one hundred programs for ten departments, and research pubications for marketing to overseas students; course promotion and support; creation of event specific information for public events including Open Day and Info Day; building marketing relationships within the Faculty of Science, Corporate Marketing Unit, Macquarie International and external stakeholders; development of marketing messaging for events and programs; development of content - writing for the web and publications; market research and analysis - surveys, reporting findings; media analysis and reporting; maintaining and creating an image library; development of product knowledge ; sourcing, creating and coordinating the production of promotional materials; researching and building knowledge for online marketing for the Faculty of Science; providing input into the creation of the annual Faculty of Science Strategic Marketing Plan; and provide marketing support for Macquarie International to support international marketing projects.

Services
Marketing Plan and Aim
- The Faculty of Science marketing aim is to raise the profile of Science at Macquarie University, increase the number of undergraduate and postgraduate students and attract quality HDR students.
- The Faculty of Science marketing team implements an annual marketing plan under the guidance of the Executive Dean of the Faculty. The plan incorporates the needs of all 10 Departments. Each year certain Departments are identified by the Dean as requiring addtional marketing support. In 2011 the Department of Biological Sciences and the Department of Computing will receive additional marketing support.
- The plan details the marketing objectives to support the Faculty in achieving its marketing aim. For each marketing objective, marketing initiatives are implemented to achieve each objective. Some of these marketing intiatives are directives from the Corporate Marketing Unit requiring each Faculty to support their implementation.

Banners
Each Department has been provded with its own promotional banner to use at events which are kept in the Marketing team's office. In addition to Departmental promotional banners, the following banners are available for use:

- Faculty of Science undergraduate banner (lists all the areas of study)
- Faculty of Science postgraduate banner (lists all the areas of study)
- Faculty of Science HDR banner (lists all HDR opportunities)

We offer support in the development of the following to promote the Faculty's programs, events and HDR opportunities:

To request a brochure, fact sheet, invitation or poster complete a Publications Brief Form. Send the completed form to the Marketing Officer Alexandra Meagher
Please note: A minimum of four weeks notice is requested for all publications. This service does not extend to the development of research posters for research conferences.

Conferences
The Faculty Marketing team does not coordinate conferences on or off campus.
Entertainment/Catering Policy
This policy aims to provide clear direction to staff in determining the nature and amount of the purchase for Entertainment being considered. The Policy covers approved entertainment, hospitality and catering expenditure and has identified Crunch Catering as having exclusive rights to catering on University premises. Events
The Faculty's Marketing team can assist with the coordination of events that meet the Faculty's marketing aim such as information nights and lab openings. A minimum of 8 weeks notice is required to request assistance. To request assistance send a completed Events Brief Form to the Marketing Coordinator Cathy Gonzales or the Marketing Officer Alexandra Meagher

- Welcome or Acknowledgement of Country is to be given at the commencement of your event. The 'Welcome to Country' is conducted by a representative of the Darug nation, to welcome invited guests to their 'Country'. The Acknowledgement of Country allows for the wider community to show respect for Aboriginal protocol. The wording for the Acknowledgement of Country is: I would like to begin our proceedings by acknowledging the Darug people, who are the traditional custodians of this land. I extend my respects to the elders of the Darug nation, both past and present. I also extend my respects to any indigenous guests present here today. Darug is pronounced " Derrick"

Filming on Campus
- Any application to take still photographs, to film or to videotape on University premises or in its buildings must be made in writing and be directed to the Manager Security and Grounds Services Joseph Dikha
- Requests specifically from television news and current affairs crews, and still photographers working for daily newspapers and weekly magazines should be directed to the Director of Marketing Kathy Vozella, extn: 7378

Images, Art Work, Books and Other Published Works and Copyright
When using images and other similar items from another source in a presentation, video, publication or other public formats, it is crucial that approval to use the image is sought and received in writing. Referencing the source of the image is also required.
Copyright law protects the owner of images and other works. If these items are used without permission then the University and/or the staff member may be liable.

Media Analysis
The Faculty's Marketing team receives a daily report of media mentions of the University from the University's Media unit. This report is then analysed and summarised by the Marketing Officer to determine the number and type of media mentions for the Faculty and each Department over time.

Media Releases
The Corporate Marketing Unit's Media team is responsible for the University's communication and relationship with the media. It is a requirement that all media communications go through the Media team. To determine whether a story is suitable, read about a media release

Media Training
From time to time the Corporate Marketing Unit's team provides media training for research staff and PhD students with an interest in understanding how to benefit from having their research profiled in the media are available. Delivered by a professional media trainer, the group sessions have proven to be extremely popular in the past. They are specifically tailored to researchers who have previously dealt with the media, or are likely to be doing so in future, and are open to researchers in all faculties, and from PhD and early career researchers to established academics.The seminars involve three hours of active, guided discussion covering the following topics:
- understanding what the media look for in a story
- fostering relationships with journalists
- identifying and promoting the key messages in a research project
- improving interview performance skills and identifying tools for better communication

Multimedia Digital Broadcast System (LED and LCD screens) procedure
Use of the multimedia broadcast system is governed by the Multimedia Digital Broadcast System Policy (currently under review). See more details about the policy and checklist for content to be submitted. Contact the Faculty's Marketing Officer Alexandra Meagher to organise a marketing message to appear on the screens.

Photography
The Faculty Marketing team can organise photography that showcases the Faculty's facilities, photos of staff and students to support testimonials, as well as photography showing students in classrooms, laboratories or in the field (around Sydney). Whenever a photo of someone is taken to be used to promote the University, it is essential they sign a model release form and that this form be kept on file where it can easily be retrieved if required. Note that photography of minors (those under 18 years of age) requires the authorisation of a parent/guardian. When contracting a professional photographer to take photos, an agreement form needs to be signed. When using photos taken by staff and students of Macquarie University, ensure permission to use the photos for marketing purposes is requested and archived either via the form listed below or via email using the words detailed in the form.

Student Recruitment
The Faculty Marketing team works closely with the Student Recruitment team which is part of the Corporate Marketing Unit. Within this team is a person whose sole responsibility is to be the Science Liaison Officer. This role requires the Science Liaison Officer to work directly with our partner schools and promote the Faculty of Science programs. The Science Liaison Officer and the rest of the Student Recruitment team conduct a number activities that the Faculty Departments can be involved in to promote their programs directly to high school students:
- The Macquarie Experience
- School tours on campus - get involved and offer an activity for the students to experience
- Conduct classes/presentations at schools

Web/Online Marketing

- Writing for the Web is different to writing a document. Please see tips for web writing
- The University employed its first Online Marketing Manager in October 2010, Luke Williams. Luke is currently creating an online policy to provide University staff guidance regarding marketing via the web. As soon as it becomes available it will be uploaded here.
Word Document Template
There is no word document template like there is for powerpoint that depicts One Voice One Image requirements. The following are guidelines to assist you when creating a word document that follows the University's style guidelines:
- Use arial font if you do not have access to myriad pro
- To best represent the Faculty’s colour palette use the standard green colour in word doc for headings etc or alternatively just use black
- Use the following style to credit photographer when using photography in documents: PHOTO: PHOTOGRAPHER’S NAME
- Place the logo in the footer on each page of document - the inline logo version is the preferred one to use
Writing Style Guide
- A writing style guide for the University has been created by the Publications team in the Corporate Marketing Unit.
- It provides a record of the accepted spelling, punctuation and voice to be used in publications across an organisation.
- The writing style guide ensures consistency in language and a unified textual style across the University, giving a suite of publications and website a polished and professional finish.
